Is anyone looking for a Vendor to complete the ACA 1095 reporting in place of what Lawson plans to roll out? 

Which vendors have you looked at or requested information from?  If you selected a vendor already, why did you select the one you did?

We are using the ACA module from Kronos which includes 1094s and 1095s. At first review it seems to be a great fit, especially since we use Kronos for timekeeping. We will be responsible for timing of the mailings but will have the data and forms we need ready via Kronos.

Do you have your dependent and benfit data in KRONOS?

We use KRONOS for timekeeping/scheduling but don't have all employee data in KRONOS.

For those going with solutions outside of Lawson, I'm curious to know what solution you have had in place for W-2s and 1099s. For those, we use MHC, and we plan to do the same for the 1095-C.

Did you see that they've released a file spec for 1095-C. I'll look it up tomorrow, if you haven't posted it by then...

I am curious how organizations are handling 1095c for COBRA participants? Our COBRA is outsourced but that vendor is not sending 1095c info to participants and we do not currently keep COBRA coverage in Lawson.

WE either did overrides for the codes on BN27.2 or if it was dependent only - resources.

Margie, Do you have clear instructions on how to use the BN27.2 overrides?  We haven't figured out how to populate the BN27.2 fields yet.

We don't track COBRA in Lawson either. Our vendor provided us with an annual report listing all employees who were eligible to enroll in Cobra, whether they enrolled or not and if it was due to a termination or reduction in hours. The vendor provided this report for $75.00.

Lance,

Fill in company, RE employee belongs to, year, employee number. country code and topic.

Currently, you have to then fill in every month on the record you want to override. For instance if all codes were 1E and you needed Jan to be 1H, you'd need to place a 1H in Jan and a 1E in all other months. I understand this is going to change with a future CTP so you will only need to enter the months you are overriding. I don't think that is out, yet.

Thank you Margie,

We'll try the 'override every month' approach and see how it flies.

When we tried it last, we only entered the month we wanted to override...and nothing happened. It was as if it wasn't even looking at the BN27.2 record.

Do you know what "Full Topic E2 Override" means (for Topic E2 for example)?

Where are you checking to see if it worked? The only place the overrides show is on the BN297, you won't see it on the BN99.

Has anyone tired to load their COBRA (we also process COBRA outside of Lawson) participants onto the BN29 rather than the BN27.2? Is this option worth exploring? I know the dependents won't pull then, but we were considering loading the COBRA employees on the BN29 using the BN529 upload and then adding dependents to the BN27.2. Mainly, this is becuase the BN527 does not exist yet. I'd love an upload into BN27.2, but that 527 is still "future functionality".

Do you mean BN29 or via resources? If they were your employee and had coverage anytime during the year, I would expect they already have a BN29 record.

BN29. I know there is a record already, but what we are thinking is: EE has plan X starting 1/1/15, terms on 3/15 and starts COBRA on on 4/1. So, there'd be another entry with 4/1 start date. It would have multiple records just like someone who when from, say, waive to plan X or vice versa. Thoughts?

What plan would you put them in?

For our employees like that, we just overrode the codes on the BN27.2.

We add the COBRA records on the ACAOFRCSV created by the BN729 before running the BN529

Has anyone issued corrected 1095-C forms yet?  I've tried to test this process by putting an X in the Corrected Indicator field of the BN27.1 and re-running the BN297 for the employee, but nothing populates in the Corrected box.

Is there another indicator I should be using?

I googled which offer and safe harbor codes to use for COBRA participants.  I found some info on the IRS website that says:

 

An employer that sponsors a self-insured health plan may report enrollment information for individuals who were not employees on any day of the calendar year by entering code 1G, Offer of coverage to employee who was not a full-time employee for any month of the calendar year, on line 14 of Part II of Form 1095-C for all twelve months and completing Part III of Form 1095-C.

 

Not sure if this applies to your situation or not.

 

I'm struggling with the COBRA piece as well and Margie has been a lifesaver!!  :)

Is anyone using MHC to print their 1095-C forms and have you had any issues with the data lining up on the form? Our BN297 report shows all of our employee's information but it just isn't lining up with MHC's form.
