How to set up new storeroom location for Req Self Service

Our organization has a main hospital and a smaller one which we acquired. The main hospital has Req Self Service working for the various departments to order (or requisition) product from the storeroom. Every hour the requisitions are processed and pick tickets printed for the storeroom staff to deliver. The smaller hospital was acquired after all this Req stuff was set up and the departments there get their product from the storeroom but however they do it, it's a fully manual process.

I wasn't in on the initial setup of our req self service but would like to set it up for the smaller hospital. They have their own storeroom with its own name in Lawson from which I'd like them to requisition their product. Can anyone tell me which jobs need to be set up in Lawson to process the req's and print the pick tickets at the storeroom for them as happens at our main hospital? Thanks.

It sounds like you have WH130 set to run every hour at your main hospital. You can set this up the same at the smaller hospital, just change the location code. Also make sure the printer in that storeroom is set up in Lawson because you'll need to direct any pick lists generated to that printer.

Thanks very much. Is that the ONLY job that I need to set up? Will it decrement the inventory from that hospital's storeroom when it runs?



Also, where do I set up the user so that their reqs print at that hospital's storeroom instead of the main one? I've added new users for Req Self Service before at our hospital and I don't recall that I ever specify their orders to print at our hospital storeroom, they just do, so something obviously needs to be done for the ones at the smaller hospital...

You can set the printer with the recurring WH130 job. Not per location/user. If the user wants to print a copy for their records, it will print wherever their non-stock orders print now.

In RQ01 for the smaller hospital, you can set the From Location as your main hospital stores, if that's where the majority of it comes, or you can set up the smaller hospital as a ship to and use a template to pull from the main hospital storeroom.

Either way, the WH130 will allocate the stock. You will need to either (A) have staff trained and use WH32 or MSCM to process/void shipments and release them when they are delivered. or (B) run WH132 (to Finish) and WH190 (to release) the shipments. This is what actually drops the SOH value.

I've been asked by our materials lead: is there a way to make the smaller hospital req submit to that storeroom, then if there's not enough stock to submit it to the larger hospital storeroom for fulfillment before actually trying to place an order to a vendor for the item?

You may want to search - there was a similar thread on here where they wanted to pull from Location A then Location B then vendor. I don't remember all the variations we found.

 

Edit: Is the larger storeroom the IC12 source for the smaller storeroom on the item?

Our IC12.2 Replenishment Setup screen for items at the smaller hospital storeroom shows to replenish from the vendor (using the 'purchase from' location). Below those fields it says 'or' and then 'Replenishment from Company', Location, and Bin. I am assuming we would want to point the smaller hospital's storeroom at the main hospital's storeroom as the replenishment source (company is 2000 and location is STORE) but would we need to populate the bin as well? We might move an item in our main storeroom and I wouldn't want to have to keep updating the IC12 for items at the remote hospital. Hopefully just saying we want them from the other storeroom would suffice. Any thoughts? Thanks.

Bin is not a required field in the replenishment source.

I've contacted the head of materials to ask whether we replenish all their items at the smaller hospital from the larger hospital, or maybe only some things. I guess we'd have to set up the ones we replenish to point to the main hospital storeroom and other items they order would stay the same. I appreciate your assistance. there may be times I don't reply here for a day or two but hope you'll be around for any further questions.

You are correct in the basic thought process in the smaller hospital RQ01 for the department can be set to pull from the small store. That IC12 can be set up to pull from the larger store. If the RQ01 backorders on the small store, the large store will get a WH130 from the small store - not the original RQ01. When it ships to the small store, the next WH130 should print a new shipment for the RQ01 with the allocated product it just got from the large store.

Thanks! I've made a small bit of movement on this... I found that the smaller hospital is not using Req Self Service at all. I did find where they had a template set up for one of their departments in PO15 and added an item to it that was suggested (something not too critical). On PO15 I sourced the item from their local storeroom at that hospital. Next I checked RQ01 for that cost center and it is pointed at the storeroom of the larger hospital.

If I place a req self service order for this item will it refer to the source on the PO15 record (the storeroom at the smaller hospital) or to the source on RQ01 for the cost center I"m ordering it for?

Also, does RQ01 have to do with other orders placed or just those done in Req Self Service? Thanks!

From RQC, if you use express order, it will pull from the source on RQ01 . From Template, it will pull from the source on the PO15 .

RQ01 is the default source from - it will populate any req - RQC, RQ10 or RQ500 by default, but can be changed in the req itself unless you hide the fields.
