    Can anybody please share what their process is for any degree of automation to the process of tracking employee flu shots? We are a Hospital with multiple campuses and therefore, flu shots are often required by state law to be administered to all employees who may come in proximity/contact with patients.

    Our current process is simply a manual entry from the signed paper forms into PA49 for each shot administered. Needless to say, this task is a huge burden on our Employee Health staff of 2, who administer approximately 4000-4500 shots each season. Next year, that number will almost double to around 5000-5500, so they are looking for ideas on how we might automate this process and lessen the burden on them of this manual entry into Lawson.

    Is there any such thing as bar coding that can be used to scan the vaccine info and employee badge (to associate it with the employee receiving the vaccination), then subsequently load that data into PA49 for the employee?

    Or, is anyone employing any other form of an automated process to accomplish this data entry into the Lawson database?

      We developed an in house application that communicates with Lawson to facilitate flu shots.

      I don't know all the details but at a high level this is what we do.
      Annually, we review all scheduled flu shots that were scheduled for the previous year but no action was taken. - still listed as scheduled. Those are updated to completed - refused.
      We then schedule all active employees with the new flu shot deadline.
      Prior to receiving the vaccine, the employee logs into the app and completes the consent form with all those flue questions, etc.
      The RN reviews and administers via the app.
      When the shot is given, the nurse selects the correct employee, logs the location given, vaccine lot # etc. - completes the transaction.
      Completion information is sent to Lawson and updates the PA49 record.

          We, too, are a large, complex health organization (22,000 employees, and many non-employed credentialed staff). Although we do not load flu data directly into our Lawson system, we have a separate Occupational Health system (OHM). In this system we do allow badges to be scanned when being administered on-site, but there is also a fair amount of manual entry when employees get the flu shot elsewhere, or when they decline for other reasons.  We also just created a process to send/receive data to/from MIIC to ensure we are capturing as many records as possible.

          We've allowed OHM to be an approved data source in Lawson Business Intelligence. As a result, we have been able to create robust reporting, including compliance rates at many levels, bursted lists for managers so they can see who still must complete their flu requirement, as well as Smart Notifications to remind employees who are still not compliant.               We developed an inhouse program using Sharepoint. Works the same way as Margie's and we are able to download the information into Lawson. Most of the information for the form is populated by Active directory by using thier badge to "tap in" to sign up. The nurses also are registered in the system along with all of the lot #'s & expiration date, etc. When we download to PA49, all of this information can be populated to the form.
