Usage of Smart Notifications for HR activities/transcations

    Please forgive me if you've already seen this same post in the HR forum! (I wanted to post it in both in case appropriate readers were not subscribed to both forums...)

    Does anyone use Smart Notifications for HR activities?

    We are on Windows platform, running Lawson 9.0.1.x (environment & apps) and are licensed for LBI, but do not presently use Smart Notifications. We'd like to find out how useful other organizations have found Smart Notifications to be, especially with regards to Human Resources (job/position changes, terminations, etc.) functions/activity.

    If anyone would be willing, please let us know, as we would like to discuss this topic with you.

      Lawson has a set of solutions for HR with good examples of SN's. I worked with another consultant to develop a SmartNote based upon open enrollment selection. The Note compared the benefits from the previous year and if an employee hadn't signed up for the same benefit during the current enrollment they received a notification reminding them.

        HR/PR/BN is, arguably, the most relevant functional areas for the usage of SmartNotes. SN is what is categorized as Operational Business Intelligence, being defined as highly filtered, dynamic and actionable. SN lends itself very well to this and these areas have a lot of good business uses. Examples for HR/PR/BN notifications that Ive done in the past are:

        - Anniversary/Birthday notifications
        - Self Edits on timecard punches in Kronos
        - Personalized PTO Gauges for each person that logs in (show how much PTO they have accumulated)
        - Termination/New Hire notifications for all resources that need to do something related to either activity (for example, IT needs to create or disable logins for either action)
        - Overtime alerts for managers
        - T&E submission, rejection, approval
        - Benefits Enrollment notifications with customized messages showing current elections and future options
        - Certifications Expiration for both employee and managers

        The list goes on and on. SN is probably the most under-utilized tool in the LBI stack (unless youre using SmartOffice) but has the most flexibility, in my opinion. Its not always the best tool if you need a large set of transactional data though. For instance I wouldnt recommend it for PR distribution reports. But as long as the information is filtered to the specific users, its a great tool.

        If you can, be sure to get on the latest version of SN (10.1.x) as it includes a new charting engine and integration with Reporting Services Rights Management which makes filtering much easier.

          Smart notifications for HR can be used in a vareity of ways.. Some of the examples are:

          1. New Hires - sent to all depts whenever a new employee is hired to set the employee in different systems
          2. Terminations - sent to all depts whenever a new employee is terminated to remove the employee in different systems
          3. Position changes for an employee
          4. Supervisor changes
          5. department changes
          6. Licensures expirations
          7. Benefit enrollment

          Since HR is a very high transaction driven system the use of smart notifications can be used widely throughout the department.

            Thank you David, Matthew and Ruma for your responses.

            Can any of you provide insight as to where I might find additional information on setting up and using SNs of this nature? Are there default templates available for nay/all of the examples you speak of? I do have the SN User and Admin guide (version 9.0.4.x), but within it, I find no reference as to where/how to acquire Lawson delivered SN templates/examples.
