Unable to release capital po

    I included a word document with screenshots of the issue I'm having.

    I have a capital po that is assigned to an activity that is not over budget, based on everything I can see, but it won't let me release the PO because it claims it will PUT me over budget, but it won't.

    • The original req was entered for $132,847 as an X-type
    • The Po was built like the req was, $132,847 as an X type
    • The line was received as an X-type for $132,847
    • The first invoice came in for $70,914.
    •     I reduced the line to the amount of the invoice
    •     I added another line to cover the remaining value and listed it as an Amount Service so we wouldn't have to request a receipt
    •     the total of the PO is still the same, $132,847
    • I am not able to release the PO.  It says I'm over budget by $132,846.91
      • This is $0.09 difference from the amount of the PO
      • There is $0.09 remaining on this budget (see attachment)
    • When I drill around on the first line, that the invoice paid against, it says the line is not closed
    • When the line was received it was received for the full amount, would that have anything to do with this?

    Please review my attachment.  Hopefully that will help explain this.  Thank you

      Donna did you try to release the PO using PO22 - Authorization Release?

        Your receipt was April - but the invoice was May - that means the PO135 posted this at the full amount. I don't know if there's anyway to change it from this point without increasing the activity so you can release the PO. Once month end runs, try it again.

        Or it may just be that once the PO is released and can be clearly "seen" by AC, it will correct itself.

          Obviously Lawson is not calculating the commitments correctly but I bet if you just increase the budget for the activity temporarily the PO will release and your transactions and commitments will look normal. Then reduce the budget back to what it was previously.

            You may have commitments turned on for Requisitions and that can make it seem like you're out of money.

              RQ commitments should appear in AC90 though.

                You raise an interesting point that we've been struggling with, and possibly I should start another thread about this...

                 

                In AC90 we don't feel like we see the full picture. I'm not sure if we have commitments turned on for Reqs, but should we?  I did notice that it appears that unreleased PO's don't appear in AC90.  We've run into several instances where we think we have money remaining on an activity only to find out a PO was unreleased and we are actually over budget.

                  PO22 still says its over budget, by the way.  I'll ask finance to increase the activity and see if we can back it down.

                    Donna - Not trying to dissuade you from tapping into your peers out here on this forum, but I recommend that you open a case with Lawson/Infor (due to the complexity of this particular issue).  

                    I have found Infor support to be pretty good with these types of issues in recent months.

                      There's a flag in PO01 (PO Company Setup) called Commitments Processing on PO Unrelease . This can be set to either keep or delete commitments. It sounds like your company 10 is set to delete commitments when the PO is unreleased. Our companies are set to delete commitments as well. The commitments are reinstated when the PO is released again. But it seems like for you, Lawson is possibly including that unreleased PO commitment when calculating the budget edit for this activity. I think a temporary increase in the budget will work. We've had similar issues in the past and that's done the trick.

                        Thanks.  I forwarded a copy of this thread to my contact in our IT department and he is putting in a ticket with Infor.  :)
