ACAMCODE FILE Activity Asset Code This file contains asset information from AC10.3 (Activity Asset). It includes activities tied to asset numbers (asset repairs) or asset templates (asset creation). An asset template is required for asset creation. Enter asset creation information in AC10.3 (Activity Asset). An asset number is required for asset repair. Enter asset repair information in the Repair section of the AC10.3 form. The Asset Interface lets you enter asset information in the Activity Management system for cost tracking. Then the interface program transfers the asset information to Asset Management when the activity is closed or the asset can begin being depreciated. An activity can be a unique asset, or each account category of the activity can be an asset by itself. You define the assets based on how you want to organize and capitalize assets. Asset transactions are created and enter the Asset Management system when you run AC160 (Asset Interface). Only activities with a capitalized status of Yes can create asset entries. The asset cost amount is determined by summing activity expense transactions. Activity expense transactions are flagged as capitalized when you create asset transactions. So, if you run AC160 again for the activity, the amounts previously capitalized are not capitalized again. In this case, each activity is a unique asset. MCD-ASSET-TEMPLATE Alpha 10 AC10.3 AC110 Asset Template This field is required for asset AC460 creation. Asset templates are defined in AM15.1 (Addition Template). The template defines asset category and detail and category options for an asset. This field helps you enter activities or account categories to the Asset Management system. The template provides a shortcut for you to enter asset information. If you enter a template name, you cannot enter an asset number. MCD-ITEM-QUANTITY Numeric 8 AC10.3 AC110 Item Quantity Conditionally required. If you use an AC460 asset template, item quantity is required. The Item Quantity field tells the number of units that make up this asset item. Each unit of an item is exactly the same as every other unit of the item. MCD-COMBINE Alpha 10 AC10.3 AC110 Combine Optional. This code indicates how asset AC460 items in the Asset Interface are to be combined. If you want to combine items, this field is required. The Combine field allows you to combine many activities into a single asset. To combine Asset Interface records, the template, combine code, asset description, tag, asset group, and accounting unit must be the same. MCD-ASSET-DESC Alpha 30 (Lower Case) AC10.3 AC110 Asset Description Conditionally required. If you use an AC460 asset template, the asset description is required. If you leave this field blank, the activity description defaults. MCD-TAG-NBR Alpha 12 AC10.3 AC110 Tag Number Optional. You can assign a number to AC460 identify each asset item. If you use an asset template, tag number is optional. MCD-ASSET-GROUP Alpha 10 AC10.3 AC110 Asset Group Optional. You can create a grouping of AC460 assets in an asset group. If you use an asset template, asset group is optional. MCD-ITEM-NBR Alpha 32 AC10.3 AC110 Item Number Optional. This is the item number of an AC460 asset composed of different elements, but depreciated as a single unit. If you use an asset template, item number is optional. MCD-DESCRIPTION Alpha 30 (Lower Case) AC10.3 AC110 Item Description This is the item number description. AC460 MCD-PURCHASE-DATE Numeric 8 (yyyymmdd) AC10.3 AC110 Purchase Date Optional. This field contains the date AC460 the asset was purchased. The purchase date can be different from the in-service dates used for the depreciation books. If you use an asset template, purchase date is required. If you leave this field blank, the Asset Management interface defaults the distribution date. Or if you enter an in-service date, the in-service date defaults to the Purchase Date field. MCD-INSRV-DATE Numeric 8 (yyyymmdd) AC10.3 AC110 In-service Date Optional. This is the date the asset is AC460 placed in service. The in-service date cannot be before the purchase date. If you use an asset template, a purchase date is required. If you leave this field blank, the Asset Management interface defaults the purchase date. MCD-ITEM-TAX Signed 15.2 AC10.3 AC110 Item Tax Optional. You can enter a tax amount AC460 for an item. If you use an asset template, you can enter an item tax amount. The item tax amount is added to the item cost calculated by the Asset Management interface. MCD-MODEL-NUMBER Alpha 30 AC10.3 AC110 Model Number Optional. You can enter a model number. AC460 This field is valid only if you use an asset template. MCD-SERIAL-NUMBER Alpha 30 AC10.3 AC110 Serial Number This is an optional field used for the AC460 serial number of the asset. This field is valid only if you use an asset template. MCD-HOLD-AM Alpha 1 AC10.3 AC110 Asset Management Optional. This field indicates whether AC460 Hold assets are to be held in the Asset Management interface. It is valid only if you are creating an asset. Use Yes to hold an asset template. Use No to indicate a template is not to be held. N = No Y = Yes MCD-ASSET Numeric 10 AC10.3 AC110 Asset Number This field is required for asset repair. The asset number contains up to 10 alphanumeric characters that uniquely identify an asset. If you enter an asset number, you cannot use an asset template. MCD-REPAIR-TAX Signed 15.2 AC10.3 AC110 Repair Tax This field indicates the tax on an asset repair. MCD-ASSET-GL-CD Alpha 4 AC10.3 AC110 Asset GL Code Required. This is the GL code for the asset clearing account. This account is for the debit side entry for asset creation only. MCD-WIP-GL-CD Alpha 4 AC10.3 AC110 Work-in-Process GL Optional. This is the GL code for the Code work-in-process (WIP) account. This account is for the credit side entry for asset creation only. If you leave this field blank, the system allocates amounts to the appropriate account based on the original cost entries posted to the activity and account category. MCD-WIP-ACCT-CAT Alpha 5 Wip Acct Cat Optional. This is the account category to post work-in-process (WIP) credit entries to. Defining this account category lets you track WIP expenses under one account category and capitalization entries under another (even though both are posted to the same general ledger account). MCD-TOTAL-CAPITAL Signed 15.2 AC110 AC160 Total Capital This field tracks the total amount AC300 capitalized to date for the activity. MCD-PO-NBR Alpha 14 AC10.3 AC110 PO Number The purchase order number field is an AC460 optional field for your reference. It is assumed to contain the original purchase order number on which this asset was included. MCD-PO-RELEASE Numeric 6 AC10.3 AC110 PO Release Number Used to identify a purchase order AC460 release (created from a Blanket or Standing order). MCD-PO-CODE Alpha 4 AC10.3 AC110 Po Code This is the purchase order code. AC460 MCD-LOCATION-NAME Alpha 15 AC10.3 Location Name A user-defined location name which represents where an asset is physically located. Locations are used to report asset information. MCD-DIVISION Alpha 15 AC10.3 Division A user-defined division which is used for reporting assets.
